Financial Aid
Purpose

To ensure that financial barriers do not prevent interested individuals from participating in Kelowna Nordic’s membership and programs, we offer a mechanism for reduced or waived fees for those in genuine need. This policy reflects our commitment to inclusion and community.
Scope
​
• Applies to membership fees, season passes, and youth / program registrations (cross-country skiing, snowshoeing, lessons).
• Does not apply to fees for equipment rentals (unless otherwise decided), merchandise, or external event fees.
Eligibility Criteria

Applicants must demonstrate financial need or hardship. Examples may include (but are not limited to):
• Low income or fixed income (e.g., seniors, students, families).
• Unemployment or underemployment.
• Special or extenuating personal circumstances (medical, family emergency, etc.).
Number & Extent of Aid
• The Board will set a yearly “Aid Budget” (number or dollar value) limit.
• Aid may be full or partial fee reduction, depending on need and available funds.
• A modest number of “free or reduced” memberships or program spots will be available each year (e.g., 5–10% of total membership or a fixed count).
Application Process
1. Interested parties submit a confidential application (form) to Kelowna Nordic, explaining their situation and requested assistance.
2. Applications reviewed by a small committee or the Board, meeting regularly (e.g., monthly) to assess and approve requests.
3. Applicants will be informed of the decision in writing.
Privacy & Confidentiality
All information provided in the application is private and treated confidentially. Only those involved in the review process will see the details.
Renewal & Duration
• Aid is typically granted for one membership season or program.
• Renewal for subsequent seasons may be requested but must go through the same application process.
Communication & Awareness
Policy and application form posted on our website and included in membership registration materials.
• Volunteers, staff, and board members should be aware of this policy.
• Mention policy in club newsletters / communications so people know it exists.
Governance & Oversight
• The Board will annually review the aid policy’s effectiveness, number of applicants, funds used, and adjust as needed.
• The finances of the aid program will be part of the annual reporting.
Effective Date
This policy is effective as of October 2025 and will be reviewed every 12 months.
